Rentables automatically charges Rent, Management fees, and other recurring charges each month (see Auto Charge). This article covers manually entering other types of charges such as Repairs, Late Fees, and Utility Bills.

Find the Entity (Owner or Lease) to Charge

First you will need to find the entity (Owner or Lease) who is responsible for the charge. For owner charges or charges against the current lease, go to the Property Details page. For charges against a pending (or terminated) lease you will want to find the Lease Details page under Leases ( or Terminated Leases).

Enter the Charge Details

Click the blue New Charge button corresponding to the payer (entity responsible for the charge). This will open the New Charge form where you can enter the charge details. A discussion of the various fields follows the screenshot below.

Charge Type

Certain charge types require special handling (Security Deposits and Reserves). The others are strict there for convenience. 

Selecting Rent or Management Fee will pre-populate the Tax Category, Payee, and Amount for you. Selecting Other Expense will allow you to specify these fields manually. 

A Reserves charge creates a special reserve account for owner funds that are going to be held in the trust account for emergencies.

A Security Deposit charge creates a special account to track a tenant's refundable security deposit.

Payee

The payee is the entity who the money is credited to when the charge is paid. For example, the owner is the payee for rent and the manager is the payee for management fees. The payee can be the owner, tenant, a vendor, or the property manager.

Attachments

You can attach an invoice or other documentation to the charge. This is very helpful for owners. A copy of the invoice will be included on their monthly statement as well as their year-end statement.
